Job Description:

Our world renown client is seeking a motivated, resourceful, adaptable, and professional team member to serve as a Facilities Coordinator for their Arlington, VA office. This position reports to the Facilities Manager. This position will be the first point of contact for internal and external customers seeking support and information from the facilities team. The Facilities Coordinator will work closely with the Facilities Manager and the Operation Teams to support a variety of activities including, but not limited to, visitor support, coordinating mail and packages, daily office operations, database and intranet management, conference service support, and providing general administrative support to the team. Crucial Functions --- Coordinate all visitor support requirements including visitor sign-in, taxis, courier services, provide appropriate information, or advises requests to appropriate parties, coordinate with Facilities Manager for vendor and visitor escorts when needed. --- Provide excellent professional customer service via phone, email, or in person, follows up on customer service interactions --- Coordinate and manage data updates and accuracy, including monthly update of badge audit and foreign nationals listing, updating operation databases, managing facilities intranet, maintain parking/metro database and coordinate benefits, maintains Front Desk Manual, manage monthly listings (package delivery, staff phone list, visitor parking, etc.) --- Collaborate, communicate, and coordinate with internal staff --- Coordinate mail and FedEx shipments. --- Maintain clean, orderly, and supplied common areas (kitchens, front lobby, etc.) --- Under limited supervision, support in special HR projects (i.e., New Hire Trainings and Termination interviews) --- Conference service needs, including maintain conference calendar scheduling and planning to include catering requirements, set up, IT and Security support, handle conference kitchen inventory and order kitchen supplies as needed, maintain clean and orderly conference rooms and resupply with markers, note pads, etc. as needed, organize and support internal office social calendar. --- Support service calls as needed --- Other duties as assigned Experience and Skills --- Demonstrated ability to work and communicate professionally, verbally, and in written form with internal and external customers --- Demonstrated customer service excellence --- Ability to be flexible and work with tight timelines. --- Strong interpersonal skills and ability to work independently or in a team environment --- Highly adaptable, action oriented and able to handle multiple projects simultaneously --- Able to use sound and independent judgment on variety of office tasks as assigned Qualifications --- Minimum high school diploma and 3 years of experience in customer service, facilities coordination, conference services --- Expert in MS Office applications (word, excel, PowerPoint, outlook) --- Must be physically able to move chairs and tables in order to reconfigure conference rooms and meeting areas.
