Executive Assistant to Senior Leadership - Arlington, VA

The roleWe are looking for an enthusiastic, upbeat, and polished Executive Assistant to join us in supporting the senior leadership. Reporting to the senior leadership, this position handles confidential and time sensitive matters. This position will serve as the right-hand person and gatekeeper, managing the senior leadership daily affairs and keeping it on track. You must have the ability to think critically and offer solutions with a high level of professionalism and confidentiality. Principal Duties & ResponsibilitiesThe EA to Senior Leadership is anticipated to have the following duties and responsibilities:

  • Administrative support to the senior leadership with a heavy focus on calendaring and scheduling
  • Prepare next-day agendas and meeting materials
  • Point of contact among executives, employees, clients, and other external partners, coordinating meeting logistics, communications, and materials.
  • Coordinate travel arrangements and create itineraries
  • Research and create biographies for key meeting attendees
  • Prepare for and facilitate daily meetings, breakfasts, lunches, and special events
  • Draft timely, accurate and appropriate correspondence and communications
  • Process expense reports and invoices, track spending and reconcile invoices
  • General departmental support for the office including receiving and sorting mail, triage incoming communications to the appropriate staff and facilitating response or action as needed.
  • Assist with filing and administrative tasks as necessary
  • Assist with daily interoffice and local errands -Desired Knowledge, Skills, Abilities & Experience
    • Prior experience working with key stakeholders and high-profile individuals
    • Five (5)+ years of professional experience performing administrative duties for senior level staff members, preferably at the C-level.
    • A very proactive attitude and desire to identify areas that need help and step in - - - - - - - - -Enthusiasm for the realities of a fast-growing company
      • Resourcefulness, creativity, the ability to operate in a fast-paced work environment and handle concurrent tasks and priorities with focus and composure
      • Extremely detailed oriented to ensure accuracy and quality of work
      • A friendly and polished demeanor, excellent communication skills-both oral and written-and the ability to build and maintain relationships with people at all levels, including executives, trustees, industry representatives, strategic partners, and the public
      • Maintains confidentiality in all areas and while working with sensitive documents
      • Must demonstrate a can-do-attitude and grace under pressure
      • Proven ability to exercise good judgment with a high level of professionalism
      • Proficiency with and ability to use Microsoft Office (Excel, Outlook, Word, and PowerPoint)
      • Exposure and experience arranging meetings and other special events with superb time management and organizational skills.
      • Experience working for a mission driven organization a plus
