Job Description:

Summary: This position provides high-level administrative and logistical support for all ASTHOs member facing learning and event activities. The Program and Events Coordinator will act as a liaison between the LDE Team and programmatic staff related to the operational, administrative, fiscal and program management needs. This position will proactively identify tasks and projects in close collaboration with the Director of Meetings and Events and the Director of Education and Learning Services on a day-to-day basis.

Principal Functions:

  • Develop and maintain project management dashboards and manage project deadlines
  • Coordinate and execute project intake meetings
  • Work with events and instructional design personnel to anticipate needs in order to support each project and event accordingly
  • Conduct editorial review of ASTHO communication and products as needed
  • Assist with budget tracking, invoicing and contract processing, and expense reporting
  • Update and share unit guidance documents and support material
  • Generate project status reports and updates for leadership
  • Coordinate unit meetings and collaborative efforts
  • Schedule external conference calls and meetings and circulate key take-away minutes afterwards
  • Perform project critical activities as necessary
  • Perform other duties as assigned

Qualifications:

  • Bachelors degree preferred
  • 1-2 years of experience in program, project, event or operations support
  • Demonstrated experience with MS Office applications (Word, Excel, PowerPoint, etc.)
  • Experienced with project management tools or willingness to learn
  • Experience supporting virtual events highly preferred

  • Excellent written and oral communication skills
  • Ability to multi-task and troubleshoot problems
  • Strong organizational and time management skills
  • Ability to work within a team environment as well as independently
