This is an exciting opportunity to become the Executive Assistant for an Arlington non-profit that serves the residents, businesses, employees and visitors to the 17-block district of Rosslyn in the heart of Arlington, VA. The Executive Assistant serves as the primary point of contact for internal and external constituencies on most matters pertaining to the Office of the President. The Executive Assistant also serves as a liaison to the board of directors and program leads, organizing and coordinating executive outreach and external relations efforts with a diverse range of people including senior and c-suite level executives. The EA must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant must work independently on projects, from conception to completion, and be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The EA works one-on-one with the President in both a "gatekeeper" and "gateway" role, managing day to day matters and special projects in the office of the President. He/she is a motivated self-starter that can take ownership of duties with minimal supervision. This person has responsibility for managing the president’s schedule, coordinating executive communications including emails, calls and event invites, managing the office business rhythm, and interfacing with staff to complete special projects.

  • Manage the office of the President, which includes email management, scheduling for the President and other staff members when relevant, preparing the President for meetings and ensuring the right people are included at the right time. The EA ccommunicates directly for and on behalf of the President utilizing Salesforce and Pardot to manage the President’s contacts and interactions.
  • The EA works closely and effectively with the President to keep her well informed of upcoming commitments and responsibilities, following up appropriately.
  • The EA over time is expected to get a sense for the issues taking place in the broader environment and keeping the President updated. The EA assists the President with her communications including but not limited to ghost writing, email assistance, talking points, and presentations.
  • Act as board liaison which includes scheduling board and executive committee meetings, creating meeting agendas, taking minutes, managing board reporting and the business rhythm.
  • Oversee special projects which includes providing administrative support and coordinating with staff.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Edits and completes first drafts for written communications to external stakeholders.
  • Works closely with the VP, Finance and Operations to ensure close coordination between the President’s office and program operations.
  • Acts as a backup support when needed for the office assistant.

  • Excellent interpersonal, written and customer service skills, including the ability to work and interact professionally with staff, board members and external partners at all levels.
  • Excellent organizational skills with a strong attention to detail, including the ability to conduct and coordinate multiple tasks under pressure and tight deadlines.
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Proficient in Outlook MS Word, Excel and PowerPoint, with Adobe Acrobat, and Social Media web platforms a plus.
  • Salesforce experience a plus.
  • Bachelor’s degree, with two to three years’ experience. Experience and interest in internal and external communications, partnership development.
