Are you passionate about supporting the operations functions of a fun, talented, and globally dispersed marketing and communications team that will elevate the work of the preeminent global conservation organization? The Global Marketing and Communications (GMAC) Operations team is looking for an Operations Coordinator to skillfully handle administrative functions that support the full global team and is also responsible for executing internal communications plans for the GMAC. The Coordinator supports all aspects of operations, from procurement and invoice processing to meetings management, special events, and facilities management. ESSENTIAL FUNCTIONS The Operations Coordinator will work towards meeting the strategic priorities of the Operations team by implementing tactics for approved plans and completing day-to-day tasks and activities. They will be responsible for planning and execution of logistics for special events and/or meetings, purchasing, central filing, facility management, invoice processing, and reporting/tracking necessary operations data. They will respond to inquiries about program activities, create program materials, and draft correspondence. They will provide administrative support such as coordination for team meetings, calendar management, travel planning, onboarding materials for new employees, etc.. They will implement processes and practices in order to improve effectiveness. They will coordinate internal communications across the GMAC and manage the technology and logistics of "All Staff' meetings and events. They bring both creativity and organizational skills to coordinate and host social staff events and activities, virtually and in-person, to foster a strong culture of employee engagement.RESPONSIBILITIES& SCOPE Coordinate and execute on key operations projects and guidance documents in support of the global team, with several variables, working within a defined timeline and budgetAct independently on assigned tasks and exercise independent judgment based on analysis and experience, referring difficult questions and unusual problems to their supervisorExecute on GMAC internal communications plan, including logistics management for all eventsDraft, proofread, edit, update and compile information for newsletters and the intranet sitePost content to the TNC Intranet site and build pages for staff to have easy access to new resources, tools and important news.Support team and culture-building activities, including managing regular team meetings.Develop feedback surveys and connect with staff to get regular insights on their operational needs and feedback.Demonstrate sensitivity in handling confidential informationFinancial responsibility includes purchasing, processing invoices, contracting with vendors, and assisting with budget preparationManage and track division inventory and occupancyProvide input through project teams for the improvement of existing programsWork is diversified and may not always fall under established practices and guidelines.
