  • Coordinate daily function of dynamic office environment by ensuring the office is up and running at the start of each business day;
  • Welcome employees and guests in a warm and friendly manner;
  • Answer and route telephone calls and e-mail inquiries with exceptional customer service;
  • Manage inventory of office and kitchen supplies;
  • Manage conference room scheduling, including ordering, setting up and breaking down catering for meetings as needed;
  • Ensure common areas remain clean and organized;
  • Sort and distribute incoming mail and package deliveries;
  • Prepare outgoing mail, including UPS, FedEx, Post Mail;
  • Serve as first point of contact for outgoing courier packages;
  • Input service requests for office facilities and equipment as needed;
  • Assist in coordinating office events;
  • Support Senior Marketing Vice President in coordinating and facilitating company hosted events;
  • Assist the Marketing Department with the production of flyers and other marketing materials using InDesign and Adobe Acrobat;
  • Assist the Leasing Department with the production of leasing summaries, commission reports, and proposals using Microsoft Office;
  • Manage a comprehensive client database using REA;
  • Develop, enhance and coordinate logistics, technology and efficiency for meetings, company functions, and business lunches;
  • Organize travel arrangements and process expense reports for office professionals;
  • Must be able to handle numerous administrative activities while remaining poised in a fast-paced work environment.

Requirements needed for the position:

  • MS Word, Adobe Acrobat and Excel required. Two to four-year degree, preferred or sufficient experience required
