Position Summary:
The Operations Manager provides operations management,
administrative, and budgetary support to their assigned client work
streams. S/he manages day-to-day project operations to ensure
activities are delivered on time, within budget, and are compliant
with client/contract rules and regulations. They provide an array
of client and team support through such program management
functions as: activity tracking and reporting, budgeting and
financial management, work planning, contract reporting, work force
planning, team mobilization and support, subcontractor management,
management and storing of project information, reports and
deliverables, and collection and analysis of monitoring and
evaluation data. They take the lead on tracking level of effort and
budgets and oversee work planning and reporting. They support the
Contract Lead/Project Manager with intra-team communication and
communication with clients and serve as the project's liaison to
TRG's corporate team.
Primary Role and Responsibilities:
- Serve as the liaison between internal TRG and client teams to
ensure that budgetary, purchasing, invoicing, and contractual
matters are processed accordingly.
- Communicate budget parameters, SOW, and other relevant
assignment information to appropriate parties.
- Work closely with the assigned finance accountant to ensure
invoices are submitted in a timely manner.
- Support the tracking and reporting of project financial and
contractual metrics
- Support Project Managers with strategic staffing matters and
ensure that the right resources are deployed for successful client
engagement.
- Assist in tracking consultant and subcontractor spending in
line with allotted budgets.
- Support finance and contracts teams in responding to audit
questions specific to client system.
- Liaise with Contracts and client work teams to develop,
execute, and approve contractual matters related to independent
consultants.
- Work with the contracts team to ensure operational procedures
comply with client rules and regulations and contract files are
regularly updated.
- Attend and document meetings (portfolio review, monthly check
ins, etc.) with the client when necessary.
- Prepare for and attend internal project meetings such as
monthly check-ins, project portfolio reviews, etc.
- Coordinate/support knowledge management procedures to ensure
that information is shared across tasks and activities.
- Coordinate/support project knowledge management and filing
systems and maintain all relevant project and portfolio
trackers.
- Support client teams in developing and implementing monitoring
and evaluation measures across activities and tasks.
- Collaborate with Project Manager(s) and Finance staff in
developing corporate projections and quarterly accruals.
- Support onboarding and orientation of new project staff.
Qualifications, Abilities, and Education Requirements:
- Master's degree in a related field with 3-5 years of relevant
professional experience; or bachelor's degree in a related field
with 4-6 years of experience.
- 2+ years of prior project management experience and/or team
management experience
- Demonstrated track record of success supporting small to
mid-sized project teams in a collaborative and fast paced
environment.
- Excellent writing and communication skills, including the
ability to clearly articulate complex issues and structure clear,
concise written documents.
- Strong problem-solving skills and the ability to use discretion
and make decisions independently
- Ability to work effectively on cross-cultural teams and manage
clients from different regions of the world
- Advanced experience using Microsoft Office Products (including
Word, Excel and PPT)
- Experience using technological platforms related to TRG' s core
business (Adobe Connect, WebEx, Zoom, survey tools, etc.),
- Superior attention to detail
- Effective organizational and time management skills
- Self-motivation and creativity
- Eagerness to learn and grow
- Experience with knowledge management or knowledge learning
efforts in organizations
- Experience presenting to or facilitating small to mid-sized
groups
Preferred Skills:
- Experience or interest in international development and/or
environment sector
- Familiarity with U.S. government contracting
- Life and/or work experience in developing countries.
- Experience with data collection and management, quantitative
and qualitative analysis
Physical Requirements:
- Prolonged periods sitting at a desk and working on a
computer.
- Must be able to lift up to 15 pounds at times.
