Chickasaw Nation Industries is hiring a Project Administration Manager in Washington, D.C. The Project Administration Manager Provides Program Management Support for the Pension Benefit Guaranty Corporation (PBGC)'s Physical Security Program by providing central management, coordination and oversight for the standardization of program processes and procedures. Fosters an environment in which they and their employees will report any violations or reasonably suspected violation of CNI policy, FAR, and/or CFR and are comfortable discussing the myriad compliance, conflict, FAR, CFR, etc. issues that arise during the performance of a government contract.Maintains organization's effectiveness and efficiency by defining, delivering, and supporting strategic plans for security operations.Directly contributes to program efforts in several areas, including cost, schedule, and deliverables status updates.Accomplishes results by communicating expectations; monitoring performance; coaching, counseling, and disciplining employees; initiating, coordinating, and enforcing systems, policies, and procedures.Leads discussions to strategize and build a robust physical security program at the new HQ facility, including FPS PSO coverage, a key management program, visitor management, video management system, intrusion detection, and access control. Participates in regular HQRL project meetings to liaise on physical security-related matters when preparing for the HQ move to Portals II with ITIOD, HQRL team, General Contractor (GC) and other vendors/SMEs.Schedules recurring meetings, prepare agendas and capture notes and action items.Regularly participates in client tag-ups and partners with other WSD teams on intradepartmental activities for move coordination from HQ, facility decommissioning, new HQ facility preparation and post-move "settling in".Communicates physical security procedures and changes in security posture / what to expect at the new HQ facility.Ensures all Policy & procedure documentation is documented and up to date.Acts as the Site Admin for Physical Security team site Architecture in SharePoint - i.e., creating new document libraries, metadata, modifying lists. Contributes to team site content by uploading meeting agendas/notes, HQRL documentation, action items, SOPs, work instructions, and more.Act as the Site Admin for Physical Security intranet site.Understands IT's processes with the badges and physical accessServes as authorized liaison with the customer's Program Directors. Works directly with management personnel and other officials as needed. Communicates via email, phone and/or in person with HRD management.Formulates and enforces work standards, coordinates deliverables, and communicates policies, purposes, and goals of the organization.Plans, coordinates, tracks and reports status of all ongoing projects. This includes effective and proactive communications on the status of projects, timely reports, and participation in meetings and planning sessions required to accomplish the objectives of federal agencies Physical Security program.Creates project plans, manages and tracks progress, provides status reports, issues change requests, prepares recommendations and proposals, creates required documentation with specific formatting, and meets administrative requirements for effective and efficient operations within the scope of work.Responsible for functional areas to include: program/project management and execution; program evaluation metrics; technical, business, and operational analysis, documentation and assistance; strategic communications; facilitation of general meetings and consensus-building efforts; evaluation, and service delivery; data analytics and evaluation; research; development, and implementation; policy and legislative issues; program management including pre and post award contracts; National and program standards development support; and general management consulting activities.Responsible for aiding in own self-development by being available and receptive to any training made available by the company.Plans daily activities within the guidelines of company policy, job description and supervisor's instruction in such a way as to maximize personal output. Will report any unsafe conditions and/or practices to the appropriate supervisor and human resources. Will immediately correct any unsafe conditions to the best of own ability.RequirementsBachelor's degree in Business Administration or Computer Science, a minimum of three (3) years' Project Management experienceSeven (7) years' relevant professional experience or equivalent combination of education / experience.Project Management Professional (PMP) certification from the Project Management Institute (PMI) preferred.Must be willing to obtain Public Trust ClearnceKnowledgeable in the use of PM tools.Enthusiastic, and skilled in data collection and documentation of process and procedures to execute security policies and guidance.Ability to lead a team of security Subject Matter Experts, develop collaborative teams and demonstrate integrity to ensure the highest degree of customer service to both internal and external customers.Demonstrated ability to develop and apply comprehensive solutions to client requirements/issues.Adept project financial skills, comprehensive skills in MS Office Suite, SharePoint and Adobe Acrobat Professional.Excellent interpersonal and communication skills both verbal and written.Ability to interact professionally with team members, corporate management, and clients of all levels.Excellent presentation skills supporting proposal activities.Effective communication and change management skills.Adept analytical, problem-solving, and critical thinking skills.Strong ability to manage multiple tasks simultaneously, and switch between tasks quickly.Attention to detail and accuracy with efficient work habits and highly organized.Demonstrated ability to work under pressure, meet tight/quick turn deadlines, and prioritize effectively.Demonstrated ability to work independently, in fast-paced environment with little to no daily supervision.
