Job Description Reporting to the President and Chief Executive Officer of the company, the Executive Assistant will serve as the primary point of contact for internal and external on all matters pertaining to the Office of the CEO. The Executive Assistant also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects. The Executive Assistant must be results oriented, have creative problem solving and enjoy working with C-Level Executives and their teams. The ideal individual will have the ability to exercise excellent judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work well under pressure to handle a wide variety of activities and confidential matters with discretion. Detailed Description - Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is often confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. - Proactively plans, coordinates and ensures CEO's schedule is followed and respected. Provides 'gatekeeper' and 'gateway' role, creating win-win situations for direct access to CEO's time and office. - Communicates directly, and on behalf of Senior Leadership with Board members, staff, and others, on matters related to Company initiatives. - Researches, prioritizes, and follows up on incoming issues and concerns addressed to CEO and Senior Leadership including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. - Provides effective communication between CEO, Senior Leadership and internal departments; by establishing credibility, trust and support with staff. - Works closely and effectively with the CEO and Senior Leadership to keep them well informed of upcoming commitments and responsibilities, following up appropriately. - Demonstrates effective influence skills to build relationships crucial to the success of the organization and manages a variety of special projects for C-Level Executives some of which may have organizational impact. - Successfully completes critical aspects of deliverables with a hands-on approach that facilitates the team's ability to effectively lead the company. - Special projects as requested. Plan and drive projects to completion. Prioritizes conflicting needs; is able to multitask and follows-through on projects to successful completion, often with deadline pressures. Job Requirements And Competencies - Strong Work Ethic and Tenure: minimum of 8 to 10 years of proven experience supporting C-Level Executives, and a Bachelor's degree or equivalent experience. Experience as a liaison to the Board of Directors of a publicly traded company. - Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. - Emotional maturity: Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners. - Demonstrated proactive approaches to problem-solving with strong decision-making capability. - Results Orientation: Highly resourceful team-player, with the ability to also be extremely effective independently. - Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment. - Effective Judgement Skills: Proactive and critical thinker, who actively seeks opportunities and proposes effective solutions. - Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response. - Previous experience working with Board of Directors in a C-level support capacity. - Extensive corporate travel experience to include domestic and international. - High Profile Communication: Solid understanding of MS Suites (prefer advance knowledge), presentation software and materials plus expense report generation. Excellent business writing skills are critical in addition to excellent organization skills and decision-making abilities. Expert level written and verbal communication skills including ability to communicate effectively with all levels within the FLIR Systems organization.
