Residences Engineering Coordinator (RCDCR) Job Overview: The Engineering Coordinator is responsible for serving the residential units at The Ritz-Carlton Residences Inner Harbor, Baltimore. The primary focus of the Engineering Coordinator is to maintain the highest level of safety, security and hospitality to our residents. Coordinate with other departments using telecommunications devices in order to respond to requests and resolve maintenance issues and to schedule rooms needing maintenance or put them out of order. Coordinate and schedule with other departments in the event of major system shut down or major repair or improvement. Maintain purchase orders log and file purchase orders upon payment, ensuring that orders match packing slips. Report maintenance problems, safety hazards, accidents, or injuries; complete safety training and certifications; and properly store flammable materials. Ensure uniform and personal appearance are clean and professional, maintain confidentiality of proprietary information, and protect company assets. Welcome and acknowledge all guests according to company standards, anticipate and address guests service needs, assist individuals with disabilities, and thank guests with genuine appreciation. Speak with others using clear and professional language; prepare and review written documents accurately and completely; answer telephones using appropriate etiquette. Develop and maintain positive working relationships with others; listen and respond appropriately to the concerns of other employees. Ensure adherence to quality expectations and standards. Visually inspect tools, equipment, or machines. Move, lift, carry, push, pull, and place objects weighing less than or equal to 20 pounds without assistance. Read and visually verify information in a variety of formats (e.g., small print). Enter and locate work-related information using computers and/or point of sale systems. Perform other reasonable job duties as requested by Supervisors. Organizational Relationships: The Engineering Coordinator reports directly to the Director of Engineering and in his/her absence to the Residence Manager at The Ritz-Carlton Residences Inner Harbor, Baltimore. The Engineering Coordinator is responsible for the efficient operation of the Engineering Office and department during his/her shifts and must maintain relationships with all employees, vendors, residents, and guests. The Engineering Coordinators main responsibility is the receiving and distribution of all maintenance requests from both Residents and employees and to ensure proper handling and follow up after resolution. Proper utilization of systems(e.g.BuildingLink) and tools should be used efficiently to perform job. Positive relationships should be maintained with owners and employees at all times. Assisting DOE with ordering of tools and supplies within budget guidelines should be done in a timely manner. Help DOE with assignment and scheduling of maintenance requests with Residents and other building maintenance issues. Standard Specifications: Requirements are representative of minimum levels of knowledge, skills and/or abilities. To perform this job successfully, the incumbent will possess the abilities or aptitudes to perform each duty proficiently. Ability to work well under pressure and coordinate many tasks at any given time Ability to prioritize, organize and follow-up Ability to maintain confidentiality of all resident information Ability to supervise and work cohesively with co-workers as part of a team Is responsible for the control of keys, and must ensure that any building key is released only to authorized persons, and is accounted for at all times Duties and Responsibilities: Accommodate resident and/or guest requests while maintaining the safety and security of the residents. Maintain the highest standards of hospitality and services of The Ritz-Carlton Hotel Company. Perform an active role in all building emergency procedures. Participate in and contribute to training programs. Perform additional duties as assigned to ensure The Ritz-Carlton Standards of Service and Excellence. Essential Functions: Use proper equipment, wear appropriate personal protective clothing (PPE), and employ correct lifting procedures, as necessary, to avoid injury. Follow company and department safety and security policies and procedures to ensure a clean, safe, and secure environment. Report work related accidents, or other injuries immediately upon occurrence to manager/supervisor. Complete appropriate safety training and certifications to perform work tasks. Follow policies and procedures for the safe operation and storage of tools, equipment, and machines. Identify and correct unsafe work procedures or conditions and/or report them to management and security/safety personnel. Access all function of computer system Announce all visitors to residents before allowing them to go up and permit access to only authorized visitors. Answer all telephone calls within three rings clearly, using the Ritz-Carlton Standards of Telephone Etiquette. Ensure key handling and control procedures at all times. Ensure that everyone is greeted with the Ritz-Carlton Three Steps of Services. Handle and resolve all resident complaints, fill out the Incident form for Management and record it in the daily logbook. Handle resident inquires and coordinate requests for services and maintenance requests. Maintain all logs and documentation pertaining to residents, guests, and vendors. Maintain complete knowledge and comply with all Residence, Hotel and Residential policies and procedures. Supervise all activities in and around the lobby per house rules. Transition information and records efficiently at the beginning and end of a shift Assist management in preparing payroll of hourly employees (e.g., ensure accuracy, adjustments, and distribution). Ensure employee compliance with company standards and policies and external regulations (e.g., safety, OSHA, department-specific procedures such as food standards). Assist management to ensure that hourly employees have the necessary resources to effectively perform their jobs (e.g., supplies, equipment, and inventory). Report any serious maintenance problems, unusual findings, or safety hazards immediately to the manager/supervisor. Coordinate with Housekeeping or Front Desk to put rooms needing maintenance out of order. Coordinate with other departments using telecommunications devices in order to respond to requests and resolve maintenance issues. Coordinate and schedule with other departments in the event of major system shut down or major repair or improvement Report any serious maintenance problems, unusual findings, or safety hazards immediately to the manager/supervisor. Grasp, turn, and manipulate objects of varying size and weight, requiring fine motor skills and hand-eye coordination. Position Qualifications: Demonstrated experience in service and hospitality. Excellent oral and written communication skills. High school diploma or equivalent. Strong organizational skills with the ability to handle multiple priorities.
