MSA combines hands-on expertise with information and technology to minimize our client's vulnerabilities to threats and lessen risks in order to protect their personnel and property.The Administrative Coordinator will assist with day-to-day back-office support. Duties and responsibilities include providing administrative support to ensure efficient operations of the National Capital Region (NCR) office.The Administrative Coordinator will specifically support the Operations and Business Development team through a variety of tasks related to sales, data-entry, time keeping, and customer relationship management.Essential Duties/Responsibilities

  • Assist Sales team with CRM Database upkeep and finalizing Sales Orders
  • Assist Sales team with editing quotes, and proposals utilizing CRM system (NetSuite)
  • Collect, store, organize, upload and file invoices and receipts
  • Organize and schedule meetings and appointments with potential clients and internal stakeholders.
  • Compile daily duty schedule for NCR field personnel
  • Perform time keeping duties for NCR personnel
  • Assist in the preparation of regularly scheduled reports, as well as ad-hoc reports.
  • Records subcontractor hours into timekeeping database (Valiant).
  • Assists in planning, registering and payment processing for tradeshow events
  • Assists in making travel arrangements for operations and sales personnel
  • Submit and reconcile expense reports
  • Assists with proofreading written deliverables
  • Other ancillary duties as assignedEducation/Qualifications
    • Associates degree in a relevant field, or demonstrated professional experience
    • Knowledge of office management systems and procedures
    • Excellent time management skills and ability to multi-task and prioritize work
    • Excellent written and verbal communication skills
    • Strong organizational and planning skills
    • Interacts professionally with all levels of employees and customers.
    • Strong Proficiency in MS Office (Word, PowerPoint, Excel, Publisher)
    • Proficiency in Adobe Acrobat
    • Familiarity with SharePoint
    • Prior experience utilizing Customer Relationship Management systems is a major plusPhysical Requirements
      • This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary
      • Must be able to be on call for after-hour communication as needed
