2030. NCOA, a national voice for every American's right to age
well, has an exciting opportunity for a Senior Associate, Center
for Healthy Aging in its Crystal City, VA office or remotely from
one of the other states where NCOA currently has staff. The Senior
Associate, Center for Healthy Aging will provide strategic and
project management guidance, insight and coordination in support of
a new nationwide vaccine outreach initiative among senior centers,
community-based organizations, coalitions, and stakeholders with
the goal of ensuring that all NCOA subgrantees and or partners have
the capacity, tools, and resources necessary to develop and
implement programs that meet the current and future needs of
diverse older adults across the U.S. This initiative will engage
senior centers and other community-based organizations with grants
to ensure that older adults and people with disabilities are aware
of and have access to vaccinations. With rapid response
coordination and relationship management both internally and
externally of the vaccine outreach team, the senior associate will
provide management and input over the direct technical assistance
of subgrantees and help to shape a responsive and accountable
process of data collection and integrity, educational programming,
and status reports throughout the project director's designated
workflow. The Senior Associate will use well-developed organization
skills, resourcefulness, and passion about community building and
network activation to advance this work. The senior associate will
provide management, support, and preservation of day-to-day data
integrity of the new vaccine outreach project through the following
focus areas:
- Administrative Oversight and Compliance
- Program Implementation and Project Management Support
- Capacity Building and Relationship Management. The Senior
Associate will also contribute to the strategic management and
coordination of marketing and communications activities related to
a cross-sector pool of subgrantees and the staff associated within
the rapid response new vaccine outreach initiative. This role works
collaboratively within the Center for Healthy Aging (CHA) team,
cross-functional teams (IT, CRM, MarCom, Policy, Partnerships,
Research and Evaluation, and designated outside consultants), using
strong relationship management, communication, organizational, and
problem-solving skills to provide regular written and verbal
reports and program updates communicated internally and externally.
This grant-funded position would start two weeks after the awarding
of a new grant anticipated in late December. Key responsibilities
include the following: Administrative Oversight and Compliance:
- Ensures that a general understanding of grant compliance and
metrics/objective setting is communicated throughout the project
teams.
- Distills technical and analytical information about specific
subgrantee or test case information and messages it internally and
externally within the specified team or department. Program
Implementation and Support
- Plans for, sets, and achieves large-scale programmatic
objectives through successful use of prioritization and emotional
intelligence for high-touch solutions building among teams.
- Provides fiscal oversight and support of grant objectives
alongside project director and grant management team, including
managing budgets, iterative process and mapping workflows, while
maintaining a sense of what is ultimately needed for future
evaluation efforts.
- Works closely with the project director and the Center for
Healthy Aging, IT, Research, consultants, and others internally to
achieve NCOA's goal of significantly improving the health and
well-being of 40 million older adults by 2030. Capacity Building
and Relationship Management
- Uses relationship management skills and empathy in building
connections, working with new stakeholders for NCOA's work and
resources, and identifying opportunities for alignment at the local
level and NCOA among subgrantees.
- Remains flexible in a fast-paced and dynamic project period and
ecosystem of teams, individuals, and relationship building, using
ambiguity as an opportunity.
- Supports the project director in regular check-ins, meetings,
and (TA) technical assistance trainings among and for subgrantees,
federal partners, and NCOA staff both internal and external to this
project.
- Facilitates and provides ownership and accountability for
status and strategic reports to necessary partners to relay
challenges, opportunities, and source stories among subgrantees for
broader NCOA initiatives holistically.
- Provides strategic management and guidance to program associate
around technical assistance to senior centers and other
community-based organizations involved in the vaccine outreach
program.
- Provides strategic support and participates in key outreach
activities to include communications with grantees, sourcing of
materials, and webinar set-up.
- Works closely with vaccine outreach team to ensure data
compliance.
- Provides strategic support and subject matter expertise on the
recruitment, engagement, and cultivation of locations to include in
a searchable database of senior center programs and affiliated
community-based organizations.
- Supports the setup, monitoring, and exporting of online surveys
in Qualtrics, SurveyMonkey, and other systems.
- Distills complex information into simple and compelling
messages for maximum clarity, understanding, and impact.
- Contributes to routine reports, such as issue briefs, community
partner surveys, and Administration for Community Living (ACL)
semi-annual grant progress reports.
- Supports, contributes to, and meets deadlines for healthy aging
pilot projects and initiatives.
- Participates in occasional speaking engagements, and conference
presentations.
- In collaboration with NCOA colleagues, contributes to planning,
promoting, facilitating, and coordinating webinars and NCOA's
annual conference, Age+Action. Professional
Experience/Qualifications:
- Bachelor's degree and 5+ years of experience in program
administration, project management, partner engagement, and or
management.
- Demonstrated track record of strategic, focused, and
collaborative business acumen.
- Self-initiative and solution-focused orientation to learn new
technical skills, resolve problems, and seek help when needed.
- Excellent organizational, administrative, and analytical skills
that support the management of risk to strengthen successful
outcomes of project-based work.
- Familiarity with the issues facing community-based
organizations serving older adults and passion about NCOA's mission
is a plus.
- Experience with customer relationship management.
- Familiarity with partner engagement and product or sales; asset
recruitment is a plus.
- Familiarity with grants management and large-scale
budgets.
- Ability to interpret administrative, accounting, and or audit
requirements that are specific to federally funded grants, and
their associated statutory provisions, agency regulations, and
guidance.
- Ability to understand and successfully contribute to workflows
and project management lifecycles is a plus.
- Demonstrated ability to effectively multi-task, prioritize
adhering to timelines, meet deadlines in a fast-paced environment,
and achieve high performance goals.
- Familiarity with Salesforce or other database systems as well
as digital platforms and tools (such as WizeHive and DocuSign) is a
plus.
- Strong technology skills, including advanced features in Excel
and Microsoft Office.
- Strong writing, editing, and document formatting skills.
- Ability to interface with a variety of stakeholders and
contribute positively to the team.
- Spanish language capabilities (conversational and in writing) a
